How Aegisten handles personal and operational data.

The Aegisten platform operator processes data needed to create accounts, run workflow, protect evidence, support customers and improve the product.

Data we process

We may process names, business contact details, login and security logs, company data, service requests, object addresses, work-order records, evidence files, invoices, support messages and analytics events.

Purposes

Data is used for account creation, authentication, MFA, service delivery, contractor coordination, evidence review, billing support, security, compliance, support, product improvement and legally required record keeping.

Legal bases and sharing

Legal bases may include contract performance, legitimate interests, legal obligations and consent where required. Data may be shared with hosting, email, analytics, storage, security, payment, accounting and workflow providers under appropriate safeguards.

Retention and rights

Data is kept only as long as needed for service, legal, accounting, security and dispute purposes. Individuals may request access, correction, deletion, restriction, portability, objection and consent withdrawal.

Named sub-processors and transfers

Operational data is processed with: Hetzner Online GmbH (DE), Zoho Corporation (EU), Google (Analytics) (US). Evidence storage and error monitoring run on our own Hetzner infrastructure and are not separate processors. Analytics is the only transfer outside the EEA; it is disabled by default and starts only after explicit consent, which can be withdrawn at any time.

Retention periods

Accounting records are kept for 5 years under the Latvian Accounting Law. Service requests and photo evidence are kept for 3 years, matching the commercial limitation period, so that completed work can be proven. Technical logs are kept for 12 months and then deleted.

Supervisory authority

You may lodge a complaint with Datu valsts inspekcija (Latvia), https://www.dvi.gov.lv/. We ask you to contact privacy@aegisten.lv first so we can resolve the matter directly.
